Software Advice’s free guide compares pricing tiers and highlights costs buyers may need to budget for beyond the advertised subscription.
HR software can look easy to compare until the shortlist reaches the demo stage. One vendor prices per user, another uses a flat monthly rate, and similar features appear in different tiers. A plan that looks cheaper at first can require an upgrade once you map your actual requirements.
The Software Advice 2026 HR Software Pricing Guide, published by Software Advice, a G2 company, is designed to help buyers compare that structure before they request final quotes. The guide reports entry-level prices from $8 to $120 per month across the ten products compared, mid-tier prices from $17 to $239, and high-end prices from $25 to $699, depending on pricing model.

Start with the tier that covers your requirements
The most useful comparison is not the lowest advertised plan from each vendor. Identify the capabilities you cannot operate without, then ask each vendor which tier includes them. That creates a comparable shortlist and reduces the risk of budgeting for a plan that will not fit.

Budget for costs beyond the subscription
The guide groups additional costs into three practical categories. Upfront expenses can include customization, installation and setup, and integration with existing systems. Recurring expenses can include premium support, maintenance or technical assistance depending on the licensing model. Other implementation costs can include data migration, training, and hardware or IT infrastructure for on-premise deployments.
Those costs will not apply equally to every organization. Ask each shortlisted vendor for a complete cost breakdown using the same categories, then compare the answers alongside the plan price.
Choose between a focused tool and a suite early
A specialized HR product can go deeper on a single workflow such as payroll, recruiting or performance management. An all-in-one suite can combine multiple HR workflows in one system. Making that choice before the shortlist can change which pricing tiers and add-ons deserve attention.
